Program Policies

From School Year to Summer Program to Special Events, we offer a variety of programming. We have cancellation, payment, can program policies for each.

School Year Deadlines
  • Program fees are due at registration and any remaining balance must be paid 21days before the first class.

  • Health Forms should be submitted electronically and are required 21 days before initial class meeting. If registering less than 21 days before program, the Health Form is required at registration. Late paperwork will be assessed a $25 penalty.

School Year Cancellation and Refund Policy
  • Our cancellation policy is strictly enforced and consistently followed in fairness to all participants.The policy applies to all cancellations including those due to illness and/or quarantine. All Covid related cancellations subject to this policy.

  • Refunds will not exceed the amount of money paid

  • Percentages are based on money received by STEAM, not the total tuition.

  • Missed Sessions: Missed classes are non-refundable. For one missed class, STEAM will make best efforts to provide an alternate time, if available, otherwise it is non-refundable, including cancellations related to Covid exposure or quarantine.

  • Cancellations:

    • For cancellations received 30 day before first meeting, 50% of money paid will be refunded. The remaining balance, minus the application fee, will be credited towards a future program in the next 6 months.

    • Cancellations received 29-15 days before first meeting will receive a 25% refund paid monies and 50% of monies paid will be credited towards a future program in the next 6 months. 

    • No refunds will be given for cancellations received less than fourteen (14) days before the scheduled program.

Summer Cancellation and Refund Policy

The STEAM Discovery Academy Cancellation Policy is strictly enforced and consistently followed in fairness to all participants. The team is unable to accommodate requests for exemptions. The Summer Cancellation Policy applies to all cancellations including those due to illness, quarantine, or travel delay. Students deemed contagious by a physician will be offered an alternate date option, as available.

  • Registrations are a commitment to the program. Tuition is not prorated, missed workshops and days are non-refundable and non-transferable.

  • The application deposit is non-refundable and non-transferable.

  • Refunds will not exceed the amount of money paid to STEAM for the specific individual's registration.

  • Percentages are calculated based on total tuition due, excluding non-refundable deposit(s), and percentage due.

    • March 1, 2025: For all cancellations received by 3/1/2025 at 12:01A

      • 50% of money paid will be refunded, minus the enrollment deposit, bank and processing fees, and 25% of money paid, minus the application fee, will be credited towards a future program. Credit must be used by 12/31/2025.

    • April 1, 2025: Cancellations received by 4/1/2025 at 12:01AM

      • 25% of money paid will be refunded, minus enrollment deposit, bank and processing fees,

      • 25% credit of monies paid, minus the application fee, will be credited towards a future program. Credit must be used by 12/31/2025

    • May 1, 2025 to 21 Days Before STEAM Week 1 at the Location:

      • 25% credit of monies paid, minus the application fee, will be credited towards a future program. Credit must be used by 12/31/2024.

    • No refunds will be given for cancellations received less than 21 days before the first campus program start date.

Behavior Admininstration Process

At STEAM Discovery Academy (SDA), we foster a community of respect, growth, and kindness where students can learn and grow as a community. While we welcome all students,  an individual's behavior must not be a detriment to the student, their classmates, and our educators' ability to support all students in a positive manner. 

 

Behavior Violations

All participants are required to adhere to the STEAM Student Behavior Policies and the following inappropriate behaviors constitute a violation: 

  • Failing to follow behavior guidelines or SDA rules

  • Refusing to participate in activities

  • Disrespecting and/or not cooperating with staff

  • Disrupting their or other programs,  including running and excessive shouting while indoors.

  • Failure to follow playground / recreation time guidelines

  • Rough or dangerous body contact are not allowed (tackling, wrestling, play-fighting)

  • Failure to keep hands, feet, other body parts, and all objects to themself 

  • Stealing or damaging property (personal or STEAM). Parents are responsible for costs of any vandalism or damages beyond normal wear and tear per the Equipment Acceptable Use Agreement

  • Using profanity, vulgarity or obscenity

  • Leaving a program without permission

  • Endangering the health and safety of students and/or staff

  • Bringing personal items such as valuables, cash,  stuffed animals, toys, Pokémon (or similar) cards, or electronic devices (smart watches, phones, tablets, computers, e-readers, etc.), If a student must bring a cell phone/communication device (ie Gizmo), it should be turned off or in “School Time” during the day and phones must stay in students’ backpacks at all times, unless STEAM is notified of a medical reason. 

  • Harassment, intimidation, bullying or discrimination. This includes gestures or written, verbal, physical or psychological acts that include inappropriate language, making gestures, verbally abusing or insulting, cyber bullying, assault, threatening, theft, or willfully damaging property. 

  • Fighting or physical violence of any kind.

Behavior Violation Procedure/Process

STEAM believes student discipline should be progressive and all relevant factors be taken into consideration in determining an appropriate consequence or penalty. We also believe that consistent adherence is essential. In the event of a behavior violation, the following procedural steps will be followed: 

  • Verbal Warning - a direct, in-class address to a particular student

  • Activity Restriction/Removal from class

  • Call to Parent/Guardian - made on the day of the infraction(s)

  • Written Warning  or reprimand

  • Program activity restriction

  • Dismissal from the program day

  • Dismissal from the program.

The above penalties may be imposed alone or in combination, depending on the circumstances, additionally, the discipline process can be accelerated by SDA in the event of serious misconduct.

Grounds for Immediate Dismissal: 

The following violations constitute grounds for immediate dismissal from the program at the sole discretion of the STEAM DA Leadership Team with forfeiture of current and future program tuition and fees. 

  • Harassment, intimidation, bullying or discrimination. This includes gestures or written, verbal, physical or psychological acts that include inappropriate language, making gestures, verbally abusing or insulting, cyber bullying, assault, threatening, theft, or willfully damaging property. 

  • Endangering the health or safety of self, other students or staff members. 

  • Fighting or physical violence of any kind.

Accelerated Process

The discipline process can be accelerated by SDA in the event of serious misconduct. Examples include: 

  • Student needs to be removed from activities more than twice in a day due to outbursts/disruptive behavior 

  • Student strikes or threatens another participant or staff member will proceed directly to a final warning and potential immediate dismissal.

  • Any student who commits a serious offense such as seriously harming, attempting/threatening to seriously harm another camper/staff member or who purposely uses camp equipment in a threatening or harmful manner can be immediately suspended or dismissed from camp, after the incident has been reviewed by camp staff.

Program Dismissal

Expelled students are ineligible to participate in STEAM programs for 12 months, and all tuition fees forfeited. An expelled student may only reapply for STEAM after twelve months if approved by STEAM Leadership.

 

Dismissal decisions will be made by the STEAM Leadership Team in consultation with the Campus Director.

Additional Information

  • Students do not have to exhibit the same misbehavior to progress to the next step in the discipline procedure. 

  • Violations are cumulative during the calendar year. SDA Leadership will take into consideration circumstances.

    • Example: A camper is caught stealing or destroying another camper’s property, or hits another camper later in the camp year, that camper will be sent home from camp.

 

Confidentiality

  • All conversations with parents and guardians regarding incidents will be kept confidential.

  • Please note that if multiple campers are involved in an incident; camp staff will not discuss consequences issued to the camper who is not your child with you. Two campers involved in the same incident may be at different stages of camp discipline procedure.

 

Parent Conduct and Process of Dispute

  • The program staff seeks to treat campers and families with respect, and parents and guardians are also expected to display professionalism in all inquiries and disputes about discipline decisions and incident response.

  • ​All program and/or staff issues should be directed to the Campus Director, not to the educators or counselors. If the parent is not satisfied with the response by the Campus Director, the parent may request to meet with the Executive Director.
